This policy applies to visitors to our website at www.matchwell.nl, candidates who engage with Matchwell for recruitment purposes, and clients who work with us to fill legal roles. It does not cover the Matchwell recruitment platform, which has its own separate privacy documentation.

In the course of providing recruitment services, we may collect and process the following personal data:

- Current employer and job title
- Curriculum Vitae (CV) and work history
- Interview notes and correspondence
- Availability and notice period
- References, certificates, and supporting documents
- Assessment results (which may qualify as special category data — see section 4)
- Work experience from publicly available sources such as LinkedIn
- Legal practice areas or areas of focus
- Any other information shared by you relevant to the recruitment process

3.3 Clients
When working with client organisations, we may process:
- Name, email address, phone number, and job title of client representatives
- Company name, address, and KVK number
- Details about the vacancy or hiring need
- Notes from meetings and calls
- Communication history
- Billing and payment information

4. Special Category Data
We do not seek to collect special categories of personal data (including race or ethnicity, religion, health, sex life, sexual orientation, political views, or biometric data), nor data about criminal convictions, unless strictly necessary for a specific role and legally permitted.
Where an assessment produces results that may qualify as special category data, we will only process this with your explicit consent under Article 6(1)(a) and Article 9(2)(a) GDPR. You will be asked separately before any such assessment takes place.
If you voluntarily provide sensitive information, your submission constitutes explicit consent to its use as described in this policy or as explained at the point of disclosure.
5. Communication Tools
We may use WhatsApp or similar tools to communicate about scheduling, updates, and recruitment-related questions. We will only contact you via WhatsApp if you have shared your number with us and have not objected. Please be aware that WhatsApp is operated by Meta Platforms Ireland Ltd. and that message data may be processed outside the EEA. We do not share personal information via WhatsApp with third parties. If you prefer not to be contacted this way, notify us at privacy@matchwell.nl.
6. Who We Share Your Data With
We do not sell your personal data. We share it only where necessary:
- Client organisations: candidate profiles are shared only with the specific organisation for which you are being considered, and only with your knowledge. Clients may not use your data for any other purpose.
- Hostinger International Ltd.: website hosting. Servers located within the EEA (Netherlands or Germany). GDPR-compliant.
- Service providers: email provider, invoice and payment platform, accounting software, newsletter platform, and communication tools. All are bound by data processing agreements.
- Authorities: where required by Dutch or EU law.
Where any provider processes data outside the EEA, we ensure appropriate safeguards are in place, including Standard Contractual Clauses approved by the European Commission.
7. Your Rights
Under the GDPR / AVG you have the following rights:

8. Automated Decision-Making
Matchwell does not make decisions about candidates based solely on automated processing that produce legal or similarly significant effects. All recruitment decisions involve human review by a Matchwell consultant before any introduction is made.
9. Security
We use SSL/TLS encryption for data transmitted via this website and take appropriate technical and organisational measures to protect your data. In the event of a personal data breach likely to affect your rights, we will notify you and the Autoriteit Persoonsgegevens without undue delay in accordance with Articles 33-34 GDPR.
